Sharing

Using this method a group of up to 10 extensions can all share the same mailbox. For example front desk staff who each have their own extension can share a single mailbox allowing any person to respond to messages sent to the front desk.

This works well because typically the front desk extensions are not any one persons personal extension.

  • Each extensions Message Waiting light will be lit when a message is received.
  • Each extension when calling the voicemail can be automatically logged into the same mailbox.
  • A single message queue for all extensions.
  • A maximum of 10 extensions is supported.
  • Only a single extension can access the mailbox at a time.
  • If a front desk staffer has their own personal mailbox, they can login to it from any phone without using direct integration.
  • With IP Office a user can always log any phone into the PBX as their personal phone allowing for direct integration.

Mailbox

The mailbox number does not need to match any of the extension numbers, however for best results, choose one of the extensions as the primary. In this example we will be creating a mailbox for extensions 4567, 4568, and 4569 to share.

  1. Create mailbox
  2. Add each extension as an MWI address. This will ensure the message waiting light is set/cleared for each extension.

Call Routing

Call routing is used to direct an incoming call from one of the extensions to the shared mailbox. There are two ways to perform this.

This option automatically searches all MWI addresses in the system and will match the incoming callers extension with an MWI address and place the user into the first mailbox which contains that address.

This option requires a single entry for each extension to be added to call routing. This method must be used if an MWI address was not added for each extension.
