Automatic Groups
The system can automatically create groups based on when rooms are checked in and when guests are due to depart.
These groups make it really easy for InnDesk user to schedule wakeup calls, message delivery and manage guest based on check in/out times.
Features
- Rooms automatically added and removed from groups at check in and out.
- Rooms are added or removed regardless of how they were checked in or out. This can be from InnDesk or the property management system (PMS).
- Group numbers and names will describe the group.
Configuration
Configure hospitality server to generate and place rooms into groups.
Setting | Description |
---|---|
Group expiration | Setting this value to 1 or or more will ensure groups created in this way are automatically deleted. No group will be deleted if it still contains any members. |
Create check in group | Check this box to add newly checked in rooms to a group. |
Create check out group | Check this box if your property management system supports departure dates. |
Example
Number format
Automatically generated groups use a specific number format in order to not interfere with other user generated groups and to make it easier for find.
State
The first two digits represent if the group is for checked in or checking out rooms.
00 | Groups checking out. |

Date
The next set of digits is the year, month and day as YYYYMMDD. Example: 20230208
